Create and manage multiple workspaces
Keep separate helpdesks for different brands or teams, then switch between the workspaces you belong to from one FyneDesk account.
What multi-workspace means
A workspace is its own helpdesk. Each workspace has separate tickets, contacts, customers, portal, email addresses, knowledge base, settings, and reports. Your plan and billing are managed from the parent workspace, and AI allowance and storage are pooled across the group.
Creating a workspace does not automatically add your teammates. The person who creates it becomes its Owner and can invite people. Existing team members can join another workspace in the group without an extra people charge if they already have an agent seat; adding new people uses a normal seat.
Who can create a workspace?
Only the Owner of the parent workspace can create additional workspaces, and new workspaces must be created from that parent. If you do not see the option, check that you are in the parent workspace, have the Owner role, and are on Pro or Business. Your plan also sets a workspace limit.
Create a workspace
- In the parent workspace, open Settings → Workspaces. You can also choose New workspace from the workspace switcher.
- Select New workspace, then enter a name and an available subdomain. The subdomain must be 3–30 lowercase letters, numbers, or hyphens.
- Choose whether to copy shared reply templates, SLA settings, and business hours and holidays from the current workspace. These are optional starting points; the new workspace has its own settings.
- Review the workspace add-on price shown in the wizard and create the workspace when you are ready.
The new workspace starts separately from the parent. Your existing workspace and its tickets are not moved or changed.
Finish setup and go live
After creation, switch to the new workspace and complete its setup checklist. Invite the teammates who need access, configure its support email and client portal, and review its SLAs. Until an Owner selects Go live, customers cannot reach that workspace through its portal, email-to-ticket, or website widget.
Each teammate must be invited or added to the workspace before it appears in their switcher. A person only sees workspaces they belong to.
Switch between workspaces
Open the workspace switcher in the account or workspace menu and select a workspace. FyneDesk loads that workspace as the active helpdesk. The switcher lists the workspaces your account belongs to; ask an Owner to invite you if one is missing.
What is shared, and what stays separate?
- Shared across the group: the parent plan and billing, invited people, and pooled AI allowance and storage.
- Separate in each workspace: tickets, contacts, customers, portal, email addresses, knowledge base, settings, and reports.
Can I delete a workspace?
Workspaces can be archived, not deleted. A workspace that still has live workspaces underneath it cannot be archived. Before archiving, check the workspace's open work and customer-facing channels, and make sure the people who need it have another workspace to use.
