A free ticketing system should make it clear who owns each request, what the customer needs, and what happens next. Check whether it can support that work after a trial ends or your fourth agent joins.

Understand what “free” includes

An ongoing hosted free plan gives you the service without a subscription as long as you stay within its limits. The provider operates the software, while seats, ticket volume, storage, branding, or features may be restricted. A free plan may not include every feature shown on the vendor’s website.

With open-source software, you run the application on infrastructure you control. Avoiding a licence fee can help, especially if you already have technical staff. Budget for the server, backups, upgrades, email delivery, and time spent investigating failures.

A free trial or temporary program has an end date. It can help with an evaluation or early launch, but your budget needs to cover what follows. Test the plan you expect to keep; an introductory trial may include features that disappear when you downgrade.

Pro costs $12 per agent per month with monthly billing, or $10 per agent per month billed annually, and includes 50 AI credits per agent each month. Full REST API access, live chat, and the website widget require Business, which includes 150 AI credits per agent each month. FyneDesk’s paid plans use per-agent pricing.

New accounts start with about 30 days of Business access without a credit card. Check which features remain on Free before building your daily process around a portal or paid integration. FyneDesk Free may fit if its email workflow and three-agent allowance cover your current needs.

2. Zoho Desk: a free email ticketing edition

Zoho Desk’s pricing page lists an ongoing Free edition with three user licences and email ticketing. It also describes a separate 15-day paid-plan trial that downgrades to Free when it ends. Zoho is worth evaluating if you already keep customer information in its wider ecosystem. Check the exact integration and automation you need against the Free edition; using two Zoho products does not establish that every connection is free. On Free, try assigning an incoming request, replying, and handing it to another agent. Decide whether that workflow is enough before weighing paid extras.

3. HubSpot: ticketing beside customer records

HubSpot’s Free Tools catalogue includes ticketing, contact management, and one shared inbox, with up to two free users. Tickets can be assigned, prioritized, and tracked within its customer platform. HubSpot’s official product catalogue.

HubSpot is worth considering if you want to see support requests alongside customer records. Its free tools are a limited selection from the wider platform, so a demonstration of a paid Service Hub feature does not mean that feature is included.

Before configuring multiple products, map your process. Confirm how an email becomes a ticket, who owns it, and how your team spots overdue work. Check the relevant paid edition separately if you need a customer knowledge base or more advanced service controls.

4. osTicket: a self-hosted ticketing system

osTicket offers a free open-source download with email integration and community support. Its managed cloud-hosted edition is a separate paid service, starting at $12 per agent per month. The free download does not include managed upgrades or provider-operated backups. osTicket editions.

As part of your evaluation, restore a backup and check incoming and outgoing email. Installation alone does not establish that the helpdesk is ready for daily use.

5. Zammad: open source with control over deployment

Zammad makes its helpdesk code available to inspect, extend, and self-host. It also offers cloud hosting, support for self-hosted installations, and professional services separately. The free software route means running your own instance. Zammad’s open-source options.

Zammad may suit teams that need code access or control over where the application runs. Assign someone to manage updates, capacity, recovery, and email configuration before moving customer conversations into it.

Custom changes need maintenance too. If you adapt the software to your process, allow time to check those changes after upgrades and weigh that work against the convenience of a hosted plan.

6. Freshdesk: free for a defined six-month period

Freshworks documents a Free Program for up to two agents for six months. It includes ticketing and a knowledge base, and applies to Freshdesk rather than Freshdesk Omni. Continuing beyond six months, or needing more than two agents, requires a paid plan. Freshdesk Free Program terms.

Choose with a small, realistic test

Try a few routine requests before connecting your live support address:

  1. Receive and reply. Send an email with an attachment, reply from the helpdesk, and check that the follow-up stays in the right conversation.
  2. Share ownership. Assign the request, add an internal note, and hand it over. Confirm that the customer sees only the intended reply.
  3. Find the answer. Search customer history and a relevant help article. Check whether the free plan supports the knowledge workflow you need.
  4. Check the first upgrade trigger. Price a fourth agent, required portal, integration, or higher volume before it becomes urgent.
